This Privacy Policy explains what information we collect through scottdeanintegration.com (the “Site”) and in connection with our coaching services, how we use and protect it, and the choices and rights you have.
By using the Site or our services, you acknowledge that you have read this Privacy Policy. If you do not agree with it, please do not use the Site or submit information to us.
1. Information We Collect
Information you choose to give us
- Contact forms: your name, email address, phone number (optional), the type of support you are interested in, and any message you write.

- Communications: information you share by email, phone, text message, or video call.
- Client information: if you become a client, information you share during intake, consultations, and sessions, along with scheduling and payment details.
Information collected automatically
- Server and security logs: our web host automatically records technical information such as your IP address, browser type, device type, pages visited, referring website, and the date and time of your visit. This is used to operate and secure the Site.
- Cookies: small files stored in your browser, described in the Cookies section below.
Sensitive information
Messages, assessment answers, and session conversations may reveal sensitive information, such as details about your mental or emotional health, trauma history, experiences with psychedelic substances, sexual orientation, gender identity, or religious and spiritual beliefs. Sharing this information is always voluntary. We collect only what you choose to share, use it only to respond to you and provide our services, and never sell it. By submitting sensitive information, you consent to us processing it for these purposes, and you may withdraw that consent at any time.
2. How We Use Your Information
- To respond to your inquiries and schedule consultations
- To provide, personalize, and improve our coaching services
- To review your Self-Assessment results and, if you ask us to, contact you about them
- To process payments and keep appropriate business records
- To operate, maintain, and protect the security of the Site
- To comply with legal obligations and enforce our Terms of Service
We do not send marketing emails unless you have asked to receive them, and you can unsubscribe at any time. We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.
3. Confidentiality of Coaching Work
Trust is the foundation of this work. What you share with Scott in consultations and sessions is held in strict confidence. Scott will not disclose your identity, the fact that you are a client, or the content of your sessions without your written permission, except in the limited circumstances described below.
Limits of confidentiality
Scott may disclose information without your consent when:
- He believes there is an imminent risk of serious harm to you or to another person, in which case he may contact emergency services, crisis resources, or a person you have designated;
- There is reasonable cause to suspect abuse or neglect of a child, elder, or vulnerable adult, as required or permitted by Oregon law or the law of the place where you are located;
- Disclosure is required by a court order, subpoena, or other legal process; or
- Disclosure is otherwise required by law.
Coaching is not covered by HIPAA or therapist-client privilege
Scott is a coach, not a licensed healthcare provider. His services are not covered by the Health Insurance Portability and Accountability Act (HIPAA), and communications with a coach may not be legally privileged in the way communications with a licensed therapist, physician, or attorney can be. Scott nonetheless follows the confidentiality practices described in this policy.
Other confidentiality practices
- Consultation and mentorship: to support the quality of his work, Scott may discuss general, de-identified aspects of his work with mentors or peer consultants. He will never share your name or details that could reasonably identify you.
- Group work: participants in group offerings agree to keep what others share confidential. Scott cannot guarantee the conduct of other participants, so please share only what you are comfortable sharing in a group.
- Recordings: sessions are never recorded without the consent of everyone present.
- Testimonials: your words or story will never be shared publicly without your written permission.
- Electronic communication: email, text messages, and video calls are convenient but cannot be guaranteed to be fully secure. Please consider this when deciding what to share electronically.
4. How We Share Information
We do not sell, rent, or trade your personal information, and we do not share it for targeted or cross-context behavioral advertising. We share information only:
- With service providers who help us operate the Site and our practice, such as web hosting, email delivery, scheduling, video conferencing, and payment processing. These providers may use your information only to perform services for us.
- When required by law or within the limits of confidentiality described above.
- In a business transfer, if the practice is ever sold or transferred, in which case you will be notified and this policy will continue to protect your information.
- With your consent or at your direction.
Third-party services
The Site loads fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google. The Site also links to third-party websites, such as Instagram. Those services have their own privacy policies, and we are not responsible for their practices.
5. Cookies
Cookies are small text files stored in your browser. We use:
- Essential cookies that the Site needs to function, such as the cookie that remembers your cookie preference and login cookies used only by site administrators.
- Optional cookies, such as analytics, only if you choose “Accept” in our cookie banner. We do not use advertising cookies.
You can change your choice at any time: Cookie Settings. You can also block or delete cookies through your browser settings, although parts of the Site may not work as intended.
Global Privacy Control: if your browser sends a Global Privacy Control (GPC) signal, we treat it as a request to decline optional cookies. Because there is no common standard for “Do Not Track” signals, we do not respond to them.
6. How Long We Keep Information
- Inquiries and Self-Assessment submissions that do not lead to working together are generally deleted within two years of our last contact.
- Client records are kept for as long as reasonably necessary to provide services and meet legal, tax, and professional obligations, generally up to seven years after services end, and then securely deleted.
- You may ask us to delete your information sooner, as described in Your Privacy Rights below.
7. How We Protect Information
We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (HTTPS) connections to the Site and limiting access to the information to Scott and the service providers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a data breach affecting your personal information occurs, we will notify you as required by applicable law, including the Oregon Consumer Information Protection Act.
8. Your Privacy Rights
Wherever you live, you may ask us to:
- Confirm whether we hold personal information about you and give you access to it
- Correct information that is inaccurate
- Delete your information
- Provide a copy of your information in a portable format
- Withdraw consent you previously gave, including consent to process sensitive information
- Stop sending you marketing communications
We do not sell personal information or use it for targeted advertising or profiling, so there is nothing to opt out of in those areas. Depending on where you live, including Oregon, California, Colorado, and other U.S. states with consumer privacy laws, you may have additional rights under those laws.
To make a request, email scott@scottdeanintegration.com. We may need to verify your identity before responding, and we will respond within the time required by applicable law, generally within 45 days. You may use an authorized agent to make a request on your behalf. We will never discriminate against you for exercising your rights.
Appeals: if we decline your request, you may appeal by replying to our decision and asking us to reconsider. We will respond to your appeal in writing within the time required by law. If your appeal is denied, you may contact your state Attorney General; Oregon residents may contact the Oregon Department of Justice.
Visitors from outside the United States
Scott Dean Integration is based in the United States, and information you submit is processed in the United States. If you are located in the European Economic Area, the United Kingdom, or another region with data protection laws, we process your information based on your consent, to take steps at your request before entering into or performing a coaching agreement, to comply with legal obligations, or for our legitimate interests in operating and securing the Site. You may also have the right to object to or restrict certain processing and to lodge a complaint with your local data protection authority.
9. Children’s Privacy
The Site and our services are intended for adults 18 and older. We do not knowingly collect personal information from children under 13 (or under 16 where required by local law). If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page shows when it was last revised. If we make significant changes, we will make reasonable efforts to let you know, such as by posting a notice on the Site.
